Our privacy notice and you

Friends of the Peak District and CPRE South Yorkshire promote and encourage the improvement and protection of the English countryside and in particular the areas of the Peak District and South Yorkshire. We could not do this without support from people like you and we are committed to protecting both your data and your privacy.

We want you to feel assured that any information you give us is held securely and safely, whether you are supporting us through membership, campaigning, donating, volunteering, fundraising, purchasing our goods or attending an event.

This notice outlines what data we collect, how we may use it and how we keep your data safe.

‘We’ or ‘us’ means our working names of Friends of the Peak District and CPRE South Yorkshire which are both run and managed by the Peak District and South Yorkshire Branch of the Campaign to Protect Rural England, Victoria Hall, 37 Stafford Road, Sheffield S2 2SF. Registered Charity no. 1094975; registered Company no. 4496754.

We are registered as a data controller with the Information Commissioner’s Office (ICO) and our Data Protection Register number is: Z9928833.

We are registered with the Fundraising Regulator and abide by the Fundraising Code of Practice.

Getting in touch – your rights

You have the right to ask for a copy of the information we hold about you and to have any inaccuracies in your information corrected. You also have the right to ask us to delete any personal information we hold about you. In some cases, we may be unable to delete data, for example if it is required for tax or Gift Aid purposes. In these cases, we will ensure that you are removed from future communications and processing. We are committed to ensuring you receive only those communications you choose.

You can access your personal data held by us or request to receive your information in part or its entirety in machine readable format.

The right to complain

You have the right to be notified of a data security breach concerning your personal data.

What information do we collect about you?

The personal data we collect can include your:

  • Name
  • Address
  • Email address
  • Telephone number
  • Mobile number
  • Credit/debit card or bank account details (so we can process subscriptions, donations or purchases)
  • IP address
  • Taxpayer status to help us to claim gift aid
  • Communication preferences

When do we collect it?

We may collect personal information from you when you:

  • Ask about our activities
  • Ask for planning or campaigning advice
  • Become involved in one of our campaigns
  • Join as a FPD member
  • Join as a CPRE member
  • Make a donation, including through third parties, e.g. Give as you Live and Stewardship
  • Make a purchase
  • Sign up for an event
  • Sign up for our eNewsletter
  • Sign up for emails about upcoming events
  • Enquire about volunteering
  • Complete a contact form
  • Enter competitions with us

The legal basis for processing your information

Your details will only be used for the purposes for which they were submitted and we will not share this information with any other parties, unless required to by law.

The legal basis that we rely on for processing your data will fall into one of the following categories:

  • Where you have provided your consent to allow us to use your data in a certain way, for example, you subscribe to our eNewsletter.
  • Where the processing is necessary to carry out the performance of a contract with you, for example, becoming a member, making a purchase or booking onto an event.
  • Where it is in our legitimate interest to perform our functions (to raise funds and deliver our charitable purposes), for example, sending administrative communications, processing your donations (including processing gift aid).

How we use your personal information

We will never sell or pass on your details to a third party for marketing purposes.

When you join as a FPD member:

  • We store your details on our customer relationship management database
  • You will receive a welcome pack in the post, including information about your member benefits and an annual reminder to renew (unless you pay by direct debit or standing order)
  • You will receive a copy of our Peakland Guardian magazine and an appeal letter twice per year, by post
  • If you have agreed, you will receive our monthly eNewsletter
  • We will contact you if we have any queries relating to your membership or payment

When you join as a CPRE member and are allocated to/choose South Yorkshire or the Peak District as your local branch, we will receive your contact details from CPRE’s national office:

  • We store your details on our customer relationship management database
  • You will receive a copy of our Peakland Guardian magazine and an appeal letter twice per year, by post
  • If you have agreed, you will receive our monthly eNewsletter

When you make a donation:

  • We store your details on our customer relationship management database

When you make a purchase:

  • We process your purchase and record your payment
  • We will contact you if we have any queries relating to your purchase or payment
  • If you provide your email address, we will send you emails telling you about our work, offers, and upcoming events

When you sign up for an event:

  • We organise your attendance at the event and, where applicable, record your payment
  • We will contact you if we have any queries relating to your booking or payment
  • If you provide your email address, we will send you emails telling you about our work, offers, and upcoming events

When you sign up for our monthly eNewsletter:

  • We store your details on our customer relationship management database
  • We send your monthly eNewsletter

When you ask for planning or campaigning advice:

  • We aim to provide the information you have requested
  • We may store the contact details you have provided on our customer relationship management database

When you enquire about volunteering:

  • We aim to provide the information you have requested
  • If you decide to volunteer with us, we will store your contact details on our customer relationship management database

When we claim gift aid on your behalf:

  • We store your address which is needed to identify you as a current UK taxpayer.

We use personal information to undertake internal reviews and research in order to improve our membership scheme and assess and develop future Friends of the Peak District events and activities.  We also collect and monitor feedback to ensure that we are providing an adequate service and so that any problems can be identified quickly and addressed.  This information will be used for internal purposes only and the results will not be made public.

How long we keep your personal information

  • We will never retain your personal information for any longer than is necessary for the purposes we need to use it for
  • We are obliged to keep records of income, including claims for Gift Aid, for 6 years
  • If you request no further contact from us, we will add the information we hold on you to our suppression list to ensure that you do not receive unwanted materials in the future
  • We will not use your personal information for marketing purposes once you have informed us that you no longer wish to receive it, or your active involvement with us has ceased
  • If you make a payment by credit or debit card, we will not retain your card details beyond the completion of the transaction
  • If you attend one of our events, we will retain your details until the event is completed unless there is an incident

Our FPD and CPRE SY websites use information collected from visitors to this website to improve the information we offer to you and to improve your online experience.

Use of cookies

Google Analytics

We use Google Analytics (GA, a web analytics service provided by Google Inc.) to track site user interaction. We have GA code installed on our site which creates cookies. The cookies contain an ID number which is used to uniquely identify your browser and track each site you visit that is GA enabled.

We use this data to determine the number of people using our site and to better understand how they find and use our web pages. With this information we can continually improve the information that we provide on our site and the processes for actions such as contacting us and donating. We can also use it to increase the number of new people finding our site.

Your rights with Google Analytics

As we cannot access any personal data about you ourselves, we are not the Data Controller for your GA profile data. Online Payments

To make an online payment using a payment card, you will be directed to a payment gateway which uses secure server software which encrypts all information you input before it is sent to us.

We offer the use of PayPal and ApplePay and have payment gateways operated on behalf of and under contract to us by service providers (who operate under their own policies about the collection and use of your data). Apple transfers your payment data to Stripe Payments Ltd, which processes your payments on behalf of Friends of the Peak District. Stripe’s privacy policy is here: https://stripe.com/gb/privacy

Security of your data

In order to protect your data and to prevent unauthorised access, we adhere to strict security procedures in the storage and disclosure of information which you have given us.

Telling us when things change

We want to make sure that your personal information is accurate and up-to-date and that you only receive what you want to receive from us. You can change your email marketing preferences at any time by clicking ‘unsubscribe’ on any of our emails.
